5 Creating a Proposal

How to Create a Proposal

Flextribe makes it simple and structured to create proposals—whether you start from the Proposal page or directly from a Client Agreement.

When creating a new proposal, you’ll be guided through an easy step-by-step flow designed to capture all the necessary information.

📋 Step-by-Step: Creating a Proposal

1️⃣ Choose Customer and Client Agreement

Start by selecting:

  • The Client

  • The Client Agreement the proposal relates to

📌 Note:
The Client Agreement you select will determine the remaining flow, including available Subareas, pricing options, and any predefined setup.

2️⃣ Sharing (If Distributing to Suppliers)

Next, you’ll be asked:

Will this proposal be distributed to suppliers?

  • Select Yes or No

  • If Yes, two additional steps will be added to your proposal flow for supplier distribution.

3️⃣ Fill Out Proposal Details

We’ve kept it simple, focusing on the most important data points:

  • Title

  • Workplace (location)

  • Task Duration

  • Option for Extension

4️⃣ Add a Description

You have the option to:

  • ✍️ Write a brief description of the assignment

  • 📎 Upload any relevant files or documents

📌 Note:
If you are not distributing the proposal to suppliers, this step is optional.

5️⃣ Set Deadlines

To ensure smooth coordination, we ask for two deadlines:

  • Customer Deadline – When you need to deliver the proposal to the client

  • Internal Deadline – When your team needs to finalize resource allocation

📌 Tip:
Setting clear deadlines helps prioritize tasks across multiple ongoing proposals.

6️⃣ Select Prices (If Applicable)

If the Client Agreement includes Subareas and specific pricing, you’ll need to:

  • Select the appropriate Subarea

  • Confirm the agreed price

📌 Note:
If the Client Agreement is based on free pricing, this step will be skipped automatically.

7️⃣ Review Summary

Before finalizing, you’ll see a full Summary Page where you can:

  • Double-check all entered details

  • Make any necessary edits before submission

This ensures your proposal is complete and accurate before it’s shared internally or externally.
