Managing Our Proposals

Flextribe is designed to support how consultancies manage and drive their sales processes. The Our Proposal section provides you with a structured, easy-to-navigate workflow to manage opportunities effectively.

📂 Overview of Our Proposal Tabs

In Our Proposal, you'll find four key tabs:

🟠 Pending Proposals

This is your active sales pipeline – all potential assignments your company is currently working on.

In Pending Proposals, you:

  • Allocate resources

  • Identify and submit the right consultant for each specific assignment

Important Rule:

  • If no candidates have been added to a proposal, and the internal deadline has passed by 48 hours, the proposal will automatically move to Archived.

  • If you have added or received candidates for a proposal and the deadline passes, the proposal stays in Pending Proposals.
    ➡️ You will need to manually move the candidates on the Kanban board to either:

    • Proposal Sent, or

    • Cancelled


📤 Proposal Sent

This tab shows all proposals where at least one candidate has been moved to the "Presented to Customer" stage.

  • A proposal remains here until you update the candidate status to:

    • Won

    • Lost

    • Cancelled


📝 Draft

This tab includes all proposals that have been created but not completed through the full proposal flow.

  • Use this area to finalize and complete your proposals before distribution.

🗂️ Archive

All completed proposals eventually end up here.

Proposals automatically moved to Archive include:

  • Proposals with No Candidates

  • Proposals marked Lost or Cancelled

Additionally:

  • Won proposals move to Active Projects in the sidebar.

  • Once the project reaches its end date, it will automatically transition to the Archive.

⚙️ Important Rules for Managing Proposals

Pending Proposal:

  • Automatically moved to Archived 48 hours after deadline if no candidates have been added.

Pending Proposal with Candidates:

  • Remains in Pending until a user manually updates the candidate stage (e.g., Proposal Sent, Cancelled).

Proposal Sent:

  • Triggered when one or more candidates are moved to "Presented to Customer" in the Kanban board.

  • Remains here until candidates are moved to Won, Lost, or the proposal is Cancelled.
